Privacy Policy

For account and billing data of our subscribers, Adifice acts as a data controller. For the candidate, HR contact, and recruiting data that a subscriber uploads or generates in the Service, the subscriber is the controller and Adifice acts as a processor, handling that data on the subscriber’s behalf and instructions.

We collect:

• Account data: name, work email, company name, role, and authentication identifiers.
• Billing data: subscription plan and payment status. Card details are collected and stored by our payment processor, not by us.
• Recruiting content: candidate profiles (name, contact details, résumé text, work history, skills), HR contacts, jobs, notes, documents, interview and assessment records, and outreach you create.
• Usage and technical data: log data, device/browser information, and actions taken in the Service, used to operate and secure the platform.

Where you use company- or contact-enrichment features, we retrieve business information (such as company details and professional contact information) from third-party data providers, including Apollo. This enrichment data is added to your workspace for your recruiting use.

We share data with vetted providers only to operate the Service:

• Stripe — payment processing and subscription billing.
• Auth0 (Okta) — authentication and login.
• Railway — application and database hosting.
• Amazon Web Services — file storage (S3) and transactional email (SES).
• Resend — transactional and invitation email.
• Apollo — company and contact data enrichment.
• Anthropic (Claude) and OpenAI — AI features (screening, drafting, interviews, transcription, speech).
• LiveKit — real-time audio/video for voice and video interviews.

These providers process data under their own terms and security commitments. We do not sell personal data, and we do not permit these providers to use your data for their own purposes.

We use personal data to provide, secure, and improve the Service; authenticate users; process payments; send service and account communications; provide AI-assisted features on the content you submit; and comply with legal obligations. We do not use candidate or contact recruiting content for advertising.

We use strictly necessary cookies to keep you signed in and secure your session. We do not use third-party advertising or cross-site tracking cookies.

We retain personal data for as long as your account is active or as needed to provide the Service. Subscribers may delete candidate, contact, and job records at any time. After account termination, we delete or de-identify data within a commercially reasonable period, except where retention is required by law or for legitimate business records (for example, billing history).

If you are in the European Economic Area or the UK, you have the right to access, correct, delete, restrict, or port your personal data, and to object to certain processing. Because Adifice acts as a processor for recruiting content, requests about a candidate’s data are generally directed to the subscriber (controller); we will assist them in responding. For account data we control, contact us using the details below.

If you are a California resident, you have the right to know what personal information we collect, to request deletion, and to correct inaccurate information. We do not sell or share personal information for cross-context behavioral advertising, so there is no “opt-out of sale” to exercise. We will not discriminate against you for exercising your rights.

We use technical and organizational measures to protect personal data, including encrypted transport, access controls, and reputable infrastructure providers. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

We and our providers may process data in the United States and other countries. Where personal data is transferred across borders, we rely on appropriate safeguards as required by applicable law.

The Service is not directed to children and is intended for business use by adults. We do not knowingly collect personal data from children under 16.

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the effective date above and, where appropriate, by additional notice.
